The short version
Treat the space and the gear like they are your own. Only book what you will actually use, cancel if your plans change so someone else can grab the time, and reset the room before you leave so the next musician walks into the same room you wanted. Be good to each other. That is most of it.
This summary is friendly, not legal. The numbered sections below are the actual agreement, and they are what govern your membership and any coaching you book.
Welcome to Soundcheck. These Terms of Service (the "Terms") cover your Soundcheck membership, your use of our studio at 110 Orr Street, and any music coaching or consulting you book through us. By joining as a member, booking a session, entering the studio, or purchasing coaching, you agree to these Terms. If you are booking on behalf of a band or group, you are agreeing on their behalf too, so please read Section 5 closely.
These Terms & Your Agreement
Soundcheck Practice Studios is operated by Grimes and Co., LLC, doing business as Soundcheck ("Soundcheck," "we," "us," "our"). These Terms are the agreement between you ("you," "member," "Client") and us.
They apply to two things: your studio membership and use of the space, and any coaching or consulting services you purchase. Some sections apply to everyone, and a few apply only to one or the other. Where a section is specific, it says so.
By creating a membership, completing a booking, entering the building, or checking the agreement box at checkout, you confirm that you have read these Terms, that you are at least 18 (or have a parent or guardian agreeing for you, see Section 12), and that you accept them.
Membership & Access
Studio access at Soundcheck is for active members. A membership gives you unlimited bookings for one flat monthly rate, keyless entry to the building, and access to the member community and perks.
How membership works
- Unlimited bookings, flat rate. You can book as many sessions as you want for your monthly membership fee. You are no longer paying by the hour. You do still reserve your studio time online, so the calendar stays fair for everyone.
- Keyless entry. Access runs through tap-to-enter: a temporary PIN when your membership activates, then a Touch Pass on your phone for ongoing 24/7 entry. Your access is personal to you.
- One membership, one person. Your membership and your entry credential are yours alone. Please do not share your PIN, Touch Pass, or entry access with anyone who is not a member. Guests are welcome under the rules in Section 5, but sharing access so a non-member can use the studio on their own is not permitted and may end your membership.
Membership rate
Your membership bills at the then-current membership rate. Promotional rates are governed by the specific terms of the offer you accepted at signup. Student and military discounts may be available. See Section 9 for how billing, renewals, and cancellations work.
Coaching without membership
You do not need a studio membership to book coaching. Coaching is open to non-members too, and members receive a discounted rate. Section 10 covers coaching in full.
Booking Your Time
Sessions are reserved online through our booking system. A few limits keep the calendar open and fair for the whole community:
- Four hours at a time. A single session can be booked for up to 4 hours. If you need longer, you are welcome to book again once you are in, subject to what is open on the calendar.
- Thirty days ahead. You can book up to 30 days in advance. This keeps any one member from locking up the calendar weeks out.
- Cancel if you are not coming. Plans change, and that is fine. If you know you are not going to make it, please cancel your session so the time opens back up for another member. Holding a slot you will not use keeps someone else out of the room.
- Show up on time. Sessions start and end at their booked times. Late arrivals do not extend a session, and there may be someone booked right after you.
- End on time. Please wrap up and be out of the studio by the end of your booking. If you want more time and it is open, book it.
The studio is for practice, rehearsal, recording, lessons, and related creative work. If you want to use the space for an event, a large gathering, or anything outside normal use, contact us first at admin@soundcheck.studio so we can make arrangements.
Reset the Room
This one matters, so it gets its own section. Soundcheck runs 24/7 and is largely unstaffed, which means the room the next member walks into is the room you leave behind. Before you head out, reset the room:
- Return every instrument, amp, cable, mic, and accessory to where you found it. Guitars go back on their stands carefully.
- Set knobs, faders, and gear back to a neutral starting point so the next person is not untangling your mix.
- Push in chairs, clear your trash, and take anything you brought with you.
- Turn off anything you turned on that should not be left running.
- Make sure the space looks and feels the way you would want to find it.
If something is not where it should be, or you are unsure how a piece of gear resets, leave it safe and let us know rather than forcing it. Repeated failure to reset the room may result in additional charges or affect your membership.
Bands, Bandmates & Guests
Music is a team sport, so here is how responsibility works when more than one person is in the room.
The account holder is responsible for the whole group
When you book a session for your band or group, you, as the member who owns the booking and payment account, are responsible for everyone you bring in. That means every person in your party, whether they are a member or not, is your responsibility while they are in the building on your booking.
As the account holder, you agree that:
- You have made sure everyone in your group knows and will follow these Terms and the house rules.
- You are responsible for their conduct, and for any damage, loss, or extra cleaning they cause, on the same terms as if you had done it yourself (see Sections 8 and 14).
- Your bandmates and guests are your responsibility to let in and to keep with you. Do not give out your access credential so they can come and go on their own.
Guests
You are welcome to bring bandmates, collaborators, or a guest to your session. Guests must stay with you, are covered by your responsibility as account holder, and are here for your session, not for their own separate use of the studio. If a bandmate is going to be using the studio regularly on their own, the right move is for them to become a member too.
House Rules
The short version lives at the top of this page. Here is the full list. These keep the space, the gear, and the neighbors happy.
- Respect the equipment. Treat every instrument, amp, and piece of gear with care. If you are not sure how to use something, ask before you use it rather than after.
- Food and drinks stay clear of the gear. Keep food and beverages on tables and coasters, away from instruments and electronics. Spills and equipment do not mix.
- Mind the noise for our neighbors. Unleash your sound, but be mindful of blasting the speakers, especially Monday through Friday from 8 AM to 4 PM. We want to keep rocking without our neighbors coming to hate us.
- No smoking, vaping, or alcohol in the studio space. Illegal drugs are not permitted on the premises.
- Zero tolerance for theft. Instruments, accessories, cables, gear, and even our cool vintage lamps stay in the building. There are cameras in the common areas, and we will trace it. Be respectful. Karma is a you-know-what.
- Clean up and reset. Leave the studio the way you found it. Section 4 has the full reset checklist.
- Personal belongings are your responsibility. Soundcheck is not responsible for anything left behind after your session.
Building Access & Safety
Because Soundcheck is open 24/7 and often unstaffed, everyone shares responsibility for keeping the building secure.
- Do not let strangers in. Only let in people who are with you for your session. If someone you do not know is trying to follow you into the building, do not hold the door. If something feels off, contact us.
- Lock up behind you. Make sure the door closes and latches when you enter and when you leave, especially if you are the last one out.
- Keep your access private. Your PIN and Touch Pass are yours. If you think your access has been compromised, tell us right away so we can reset it.
- Cameras. For everyone's safety and security, the common areas of the studio are monitored by camera. Footage helps us keep the space and the gear safe.
- Emergencies. In any emergency, call 911 first. Then let us know at (573) 203-5265 so we can help and follow up.
Damage & Equipment
- You are responsible for damage during your session. If you or anyone in your group damages the studio or its equipment, you may be responsible for the cost of repair or replacement. Misuse of gear may result in additional charges.
- Report damage immediately. If something breaks during your session, or you notice damage when you arrive, report it right away by calling (573) 203-5265 or emailing admin@soundcheck.studio. Reporting pre-existing damage when you arrive protects you from being held responsible for it. Not reporting it may leave you liable.
- We can identify what happened. With cameras in the common areas, we can trace damage or loss back to the session it happened in. The account holder for that session is responsible (see Section 5).
- A card on file may be charged. Where you have a payment method on file, you authorize us to charge it for documented damage, loss, theft, or extraordinary cleaning caused during your session, after we have let you know.
Billing, Payments & Refunds
- Payments run through Stripe. All payments are processed securely through Stripe. By providing a payment method, you authorize the charges described here.
- Memberships bill monthly and renew automatically. Your membership renews each month at the then-current rate until you cancel.
- Cancel anytime, effective at period end. You can cancel your membership at any time. Cancellation takes effect at the end of your current billing period, and you keep access until then. We do not provide partial-month refunds.
- Promotional rates. If you joined at a promotional rate, the terms of that offer, including what happens if you cancel, are set by the offer you accepted.
- Price changes. Membership and service prices follow our then-current rates and may change with reasonable notice. A change never applies to a billing period you have already paid for.
- Refunds. Eligible refunds are processed within 2 to 7 business days. If anything looks off with a charge, contact us at admin@soundcheck.studio and we will make it right.
Coaching & Consulting
Soundcheck offers music coaching and music-business consulting ("Coaching Services"), delivered by Kagan Williams or another Soundcheck-engaged coach. This section governs any coaching you book. Coaching Services are educational and advisory in nature. They are not a guarantee of any specific artistic, financial, or career outcome.
What is covered
- One-off coaching sessions (90 minutes).
- Group Coaching (Homeroom), a recurring biweekly group session.
- Starter Retainer (2 private sessions per month).
- Deep Retainer (weekly private sessions).
Member vs. non-member pricing
Active Soundcheck members receive a discounted coaching rate, and a standard rate applies to non-members. At checkout you certify your current membership status. If you book at the member rate without an active membership, we may bill you the difference to the non-member rate, or cancel and refund the booking at our discretion.
Booking & scheduling
- Coaching sessions are booked through our scheduling system after payment is completed, at least 1 day in advance. Same-day booking is not available.
- In-person sessions take place at Soundcheck, 110 Orr Street, Columbia, MO. Virtual sessions take place over a video link provided ahead of time.
- Members may attend in person at no extra charge, drawn from their studio access. Non-members may attend virtually, or in person at the non-member rate, which already covers attending in person. No separate studio fee applies.
Coaching cancellations & rescheduling
- One-off sessions. You may reschedule or cancel up to 24 hours before your scheduled time at no charge. Cancellations or no-shows with less than 24 hours' notice forfeit that session, and no refund or credit is issued.
- Retainer & Homeroom subscriptions. Individual sessions within a billing period may be rescheduled with at least 24 hours' notice, subject to coach availability. Sessions not used within their billing period do not roll over to the next period.
- Coach-initiated changes. If Soundcheck or your coach needs to reschedule, we will offer a comparable alternative time at no cost to you.
Coaching payment & billing
- Payments are processed securely through Stripe. One-off sessions are paid in full at booking.
- Homeroom and retainer subscriptions bill monthly and renew automatically until canceled.
- You may cancel a coaching subscription at any time. Cancellation takes effect at the end of the current billing period, and we do not provide partial-month refunds.
- Coaching prices follow our then-current coaching menu and are subject to change with reasonable notice. Changes do not apply to a billing period already paid for.
Your coach
Coaching Services are delivered by Kagan Williams or another coach engaged by Soundcheck as an independent contractor. Your coach is not a Soundcheck employee. Soundcheck is responsible for booking, billing, and administration of Coaching Services. Your coach is responsible for the coaching itself.
Homeroom group confidentiality
Homeroom is a shared space where members work through real problems together. What is shared in Homeroom by other participants, including their material, their business, and their personal circumstances, stays in Homeroom. Participants agree not to record, screenshot, or share another participant's material or discussion outside the session without that participant's consent.
Recording & media
Coaching sessions are not recorded by default. If you or your coach would like to record a session, for your own reference for example, both parties must agree first. Soundcheck may separately ask your permission to use a testimonial, quote, or short clip for marketing purposes. We will always ask first, and you are free to decline.
Conduct & Community
Soundcheck is a community, and everyone deserves to feel welcome here. We expect respectful conduct from every member, guest, and coaching participant, whether in the studio, in Homeroom, or in member channels.
Harassment, threats, discrimination, abusive behavior, and unsafe behavior are not welcome. We may remove a person from a session, a coaching program, the studio, or the community, and may suspend or end a membership, for disruptive, abusive, or unsafe behavior, or for repeated or serious violations of these Terms. Where the conduct disrupts a coaching program you paid for, removal may be without refund for the remainder of the current billing period.
Minors
Members and Clients under 18 must have a parent or legal guardian complete registration, agree to these Terms on the minor's behalf, and be reasonably reachable during sessions. A parent or guardian who agrees on behalf of a minor accepts these Terms, including the assumption of risk and liability sections below, for that minor.
Assumption of Risk
Making music involves real equipment, real volume, and a physical space. By using Soundcheck's facilities or attending a Coaching Service in person, you accept the ordinary risks that come with being on the premises and using studio equipment, and you agree to follow the house rules and any posted or staff instructions.
You are responsible for your own safety and for the safe and appropriate use of all equipment during your session. Soundcheck is not responsible for personal injuries or accidents that occur on the premises. As the account holder for a session, you accept these risks on behalf of your guests and bandmates as well.
Limitation of Liability
To the fullest extent permitted by law, Soundcheck and your coach are not liable for indirect, incidental, or consequential damages arising from your use of the studio or from Coaching Services. Our total liability for any claim related to your membership, a studio session, or a specific Coaching Service is limited to the amount you paid to us for that membership period or that service.
Nothing in these Terms limits liability that cannot be limited under applicable law.
Personal Property
You are responsible for your own instruments, gear, and belongings while you are at Soundcheck. We are not responsible for loss of or damage to personal property, and we are not responsible for anything left behind after a session. If you store or leave gear at the studio, you do so at your own risk. We recommend carrying your own insurance for instruments and equipment you value.
Changes to These Terms
We may update these Terms from time to time as Soundcheck grows and changes. If we make a material change, we will let you know by email before it takes effect. Continuing to use your membership, the studio, or Coaching Services after a change takes effect means you accept the updated Terms.
Governing Law
These Terms are governed by the laws of the State of Missouri, without regard to its conflict-of-laws rules.
